The 4 Cs Of Effective Communication

It is no doubt that good leaders are also effective communicators.

“I don’t understand why anyone would have an issue with the way I communicate. I consider everyone’s view-point and yet my team and my boss feels that I am not being collaborative and I’m a control freak.”

This was the remark made by one of my clients (let’s call him Jeff) when I met him for the first time after he was assigned a coach by his organization.

Jeff had a tendency to talk indiscriminately. He never listened and never gave an opportunity to his audience, one on one or with several, to talk. At work, he overburdened his team, his peers, his direct reports with information. Added to this, he also had a habit of being in control too tightly; thus being perceived as stifling independent initiative. As a result of his micro-managing, he created resentment especially among his direct reports. Jeff caused ambiguity and unnecessary anxiety by not allowing others to talk and in not listening.

Jeff displayed strong self-confidence and his actions and behaviors indicated that he was in the best position to know what is really needed. He was thus perceived as self-centered or even arrogant at times; especially because he did not give others an opportunity to express themselves.

Is Communication “not listening”?

A colleague of mine has the habit of getting her family members and friends to say yes in a manner which is quite manipulative and coercive. She will ask those friends or family members to whom she has given gifts, isn’t what I gave you the best, you liked it no? I always give the best. She also has a habit of telling people to include her in her contact list and send her a what’s app and she asks them to do so by standing next to them and telling them to do so immediately. Whilst one can give her candid feedback about her gift and also say no or I’ll do it later to her what’s app request, most people don’t do so because no one wants to hurt her feelings. They also don’t want her to get upset on either being told ‘no’ or I’ll do it later.

Is Communication forcing yourself on others? Do you seek to force your opinion on others?

What is Effective Communication?

Those who inspire others as leaders influence by the way they act, how they communicate (what they say and how they say it). Bottom-line good leaders are good communicators.

Think about it, how can you inspire and influence others if you don’t communicate in a clear, credible and authentic way and don’t listen to what others have to say?

What are the key habits to adopt to become an effective communicator?

1. Connection

Communication is about engaging with others and in doing so you need to make the audience feel comfortable. For this you need to be self-aware – what is your communication style, what is working well and with whom and where you need to adapt. You need to understand others and adapt your style to make that connection.

Jeff was not self-aware nor did he take time to understand others.

2. Clarity and Conciseness

Communication does not mean you keep talking indiscriminately. Say what you have to say and say it in a concise way. Overloading people with information nonstop is not going to get or keep their attention. Being verbose kills your effectiveness. Be interactive and listen. Keep your communication simple, concrete and clear.

Jeff was thinking he was communicating effectively. However, he was the only one talking every time he was in conversation with another person – be it at meetings, one on one or on the phone. During his coaching, he realized he was long-winded and verbose in the way he communicated.

3. Confidence

Confidence is articulated in what you say and how you say it. Being self-confident doesn’t mean being self-centered and believing that you are the be all and end all to everything. Your words, facial expressions, body language, tone of voice all play an important part in the way others see you as confident or not.

Part of confidence is about how charismatic you are. If you are distracted or too self-centered, you will not be able to connect with others.

4. Concentrate and Comprehend

Listen with your eyes and ears.

You listen for feeling, meaning, behavior in #empathetic #listening. #communication #EI

You sense what the other person is going through and you give your full undivided attention to your audience.

An effective and inspiring leader asks good questions and then listens with their eyes, ears, feeling and gives their full focus to their audience. You also look for the nonverbal cues. Sometimes a person’s facial expressions and body language will convey everything you need to know much more than their words.

Clearly, Jeff did not listen. Through coaching, he realized that even with his friends, he would ask a question and then interrupt them before they could complete a single sentence. He wanted to have a conversation with people but conversation was one way which was him talking continuously. My colleague, did the same by declaring her gift as the best and forcing people to do something without being empathetic to her audience. Her tone, body language and facial expressions were condescending and she did not give an opportunity to her audience to express their view-point.

5. Commitment

Say what you said you will do. Keep up your word. If you have delegated a task, provide an environment where you allow a person to grow and develop. By being a control freak, you will not gain the trust from others.

Reflections of 2013

Another year has almost gone by. I normally feel sad when a year goes by. While that feeling has not changed completely, I decided to put some of my reflections in writing.

What has the year been like? A mix, and most of all I’m grateful:

1. I was able to overcome some challenges. The journey is still on but my confidence level has gone up.
2. Despite taking on a new journey in terms of my career, I was able to travel and see some new places and revisit some old places.
3. I didn’t get overwhelmed on many things that I chose to do out of my comfort zone. I didn’t allow my inner gremlin to take the better of me.
4.My parents health had many moments of scare but I’m thankful for their never-ending optimism.
5.For my health, my family and overall the resilience, growth, and learning I had.

What do I expect in the year 2014? No, these are not resolutions?

1. To continue to grow, learn and share
2. To continue on my journey to follow my purpose in life with which I associate myself at this point in time.
3.To continue to touch people’ life positively and lead from within.
4. To explore new challenges and complete those which are work in progress.
5. To live in the moment and have continued resilience to deal with life’s surprises.

How To LOSE IN LEADERSHIP?

I was at my friend’s place last week for dinner. She has 2 kids, a son and daughter. We were chatting and in the midst of a discussion, her daughter Nikita, comes up to her Dad and reminds him that it is her time to play chess with him.  Despite being told that he will play with her later, she insists.  He consents and tells her that she will play the game without playing any pranks.  Nikita is a junior chess champion at  a State level for girls under 10 years. Her dad, although not a champion has always been an expert in chess. We were watching them play and Nikita suddenly turned to her mom and asked her a question on what she should do.  I also noticed that she didn’t just ask for a solution but explained what her strategy was and consulted her mother on which option she should choose as the next step.
John was having some morale issues among his team. He had 5 direct reports though he was responsible for a team of fifty. He decided he will conduct a survey to determine the engagement and satisfaction among his team. At the end of one month, the time period given for completing the survey, only fifteen of his team members had responded and that too those that he had coaxed into responding. Based on the results of fifteen members who took the survey, John concluded that he was not the reason for the low morale issue.
What do these two different individuals teach you ? Nikita teaches you to lose like a leader. John is an example of how with his title, is self-centered, egoistic and supports his own press.
Leadership is not always about winning or about titles or elevated status. As leaders you can lose, and yet inspire your followers and have respect
Five Behaviors To Lose As A Leader
  1. Your control and micromanagement – if instead of managing teams you micromanage by refusing to delegate leads to mistrust and low morale. You don’t allow people to grow and develop and utilize their talents.
  2. Fear – as a leader you don’t need to know all the answers. Lose your fear of asking questions and finding out from people who may be experts or have the knowledge. Nikita consulted her mom when she was unsure about the next move she should choose to achieve her strategy.
  3. Manipulation – you don’t necessarily become a leader by occupying a position of a leader in an organization You have to earn the respect and trust of your team or people whom you work with. Without appreciating your team, empathizing with their views, needs or alternate views, your team can get disengaged. John didn’t want to take responsibility for the low morale among his team members. He tried to force some of his team members to fill the survey and get the results he desired. He shut out the truth.
  4. Withholding information – you cannot gain trust by revealing and sharing information that suits you. Self-serving behavior is a slippery slope and a prelude to an organization’s failure.
  5. Bad attitude – You can lose your ego and be humble. Humility will make you likable and earn the respect of your team. Whilst as a leader you are not expected to know everything, you need to keep abreast of the developments. You have to be credible.

As leaders, you would do well in losing your ego, arrogance, need to demand respect and be liked.

As you scale up the path in an organization or in your business as a leader and part of senior management, it probably gets lonely at the top. The responsibility that many leaders feel for their team and people creates a fear of failure and possibly a lack of Executive Presence. Many leaders get overwhelmed and start denying reality.
Life at work or in an organization has challenges that sometimes feels as if it saps the energy out of you. There are a wide range of emotions that you will experience and confront as a leader.  However as a leader, why fear in seeking help to get on a path of personal development and avoiding the pitfalls and letting your inner gremlin bewilder you?  A coach or mentor can assist you in the shift you want to make in your professional development and growth.

Success : What does It Mean To You ?

What does success mean to you?  I was asked this question by one of my friends last week. Definitely got me thinking and after some thought I responded to her by saying it is something that appeals to my within, an act and achievement of that act.  She looked at me with the most surprised look and remarked, “oh!, so it is not about promotions, getting compliments, having a big house, or a successful business”.
Yes, success to many of us at some point in our lives may be associated with materialistic concepts because as we are growing up in life those are the things that are given importance to.  I’ve been there, yearned for the same things but life has taught me that success at the end of the day is how well I choose to face my disappointments and change my path to achieve the vision, one that still appeals to my within.  To achieve success one requires confidence, clarity and self-awareness.Success does not mean absence of failure. In fact, I would say not trying at all is possibly the worst failure. Our thoughts guide us through our journey in life and a lot of this depends on what you believe. Self belief is an important ingredient to the path of success. “I believe I can” or “I believe I can’t”, frame our thoughts and more often than not it is these self-limiting beliefs that become hurdles in our path to success.

Let me give you an example,  one of my clients ? (Jim – not his real name) was narrating one of his experiences with his client and how he was getting very frustrated with his client’s inability to understand the nitty-gritty and the technicalities despite his efforts to explain the procedure in detail.  Jim had reached a stage of almost giving up and believed he will not achieve success with this client of his, despite his repeated attempts.  As part of Jim’s coaching sessions, I asked questions focussing on his strengths and to evaluate options not considered.  With the help of coaching, I made him realize that self belief is imperative and closely aligned with self belief is courage, commitment, patience, and flexibility to change approach to reach the final vision.
I believe that a good sales person is one who believes in their ability, the value of the product or service that they are offering and is able to convince their buyer re: the utility value of the product or the service. Real conviction comes from believing in something wholeheartedly and as a good sales person you share that belief with your clients and are able to convince them of the product or service.
Life to each of us is a sum collection of our beliefs and thoughts and translating our vision to reality. If you believe you are, you will be. Belief is translated in your audio and video.  When you have a strong belief in yourself, everything that you do will reveal this positive power of your belief.  And this, I believe is the key to success.  If you believe, you exhibit confidence and being confident matters to the success in what you seek to achieve.
Drawing an analogy, I would say, self belief is almost like an addiction – if you are addicted to your vision,  you will believe you will achieve success and be confident about it and work towards achieving your vision.

The 10 Cs Of Communication

Communication can make or mar relationships at any level. Clarity is key to communication. Communication is not only verbal but also includes body language. Clarity in communication substantiates supports, authenticates and endorses the conversation.

Rely on the meaning, not just the words. You have to always think Why are you saying what you are saying and How do you want your receiver to feel after you have said what you have to say.

What is Important in Communication?

1. Clarity – less is often more and keep it simple and short.  This is one of the main reasons for the importance of elevator speech.

 2. Commonsense – a word once spoken cannot be recalled. Know Yourself no matter what situation you may be in. You need to apply good judgement and keep a degree of level-headed in every aspect of life.

 3. Consistency – trust is built only with consistency. Being reliable is key to building credibility in communication as in life. Lack of communication is another way of saying lack of trust.

 4. Confidence – credence, conviction, belief and trust are key pillars of communication. The way you communicate will reflect your level of confidence.

 5. Character – all forms of communication demonstrates your character, personality, mental make-up, level of integrity and the values that you hold.

 6. Commitment – your word is your bond and your personal image. Commitment includes not only a deal, a promise, a contract, but also day-to-day spoken words.

 7. Creativity – a picture speaks volumes. Telling a story or giving an example or showing a visual often reinforces what you are trying to convey. Use your creativity in articulating your message.

 8. Courage – Courage is what it takes to stand up and speak but it is also what it takes to sit down and listen – Winston Churchill. Courage is a mark of leadership and communication offers a multitude of channels to exhibit your gallantry in spoken and written form.

 9. Consideration – You need to  listen to understand rather than listen to respond. Nobody knows how much you know until they know how much you care.

 10. Competence – You are how you express yourself.  Competence needs effective communication.

Communication is an essential ingredient in our daily life.  Silence is not the answer to avoid challenges.  Communication gap is created by our apprehensions, fear, ego, assumptions, inability to address the issue and ask proper questions.  Are you underestimating the importance of communication?
